College Policies
Many offices at Haverford College publish policies and procedures that pertain to a wide audience, including community members, visitors to campus, or prospective students or employees.
Effective on July 1, 2019, all College Policies will be created and updated in accordance with the Policy on Policies, and its Policy Template. Contact jnovack [at] haverford.edu (Julie Novack), Director of Risk Management, Compliance, and Legal Affairs, with any questions.
Academic Policies
The policies and procedures of the Academic Program reflect a curriculum designed to help its students develop the capacity to learn, to understand, to think critically, and to make sound and thoughtful judgments.
The Registrar’s Office maintains policies and procedures governing course registrations and records, including Credit Hour and Transfer of Credit.
For policies pertaining to faculty, or to academic research, consult the website of the Office of the Provost.
Accounting and Business, Budgeting, and Human Resources Policies
These policies and procedures have been established as the norm at Haverford. They are designed to safeguard the College’s financial and human endowment, and to promote accuracy, efficiency, equity, and consistency in these operations.
Human Resources policies include Employee Handbooks and the Non-Discrimination Policy.
Controller's Office policies include Contracting and Delegation of Authority, Purchasing Card, Credit Card Marketing, and Student Accounts Collection.
The Sustainable Purchasing Policy is designed to reduce Haverford’s environmental impact by advocating for purchasing decisions that align with our commitment to sustainability.
The Conflict of Interest Policy applies to members of the Board of Managers, key employees, and substantial contributors, and protects the College's interest in any and all business matters.
Assessment
With Haverford's educational mission at our center, institutional effectiveness covers two broad areas of evaluation: 1) program assessment, at the institutional, curricular, and operational/administrative levels; and 2) performance review of the individuals who design, implement, and learn via those various "programs."
The Provost’s Office has articulated further information concerning the external review of an academic department.
Athletics
The Office of Athletics is home to a number of important policies, including: Facility Policies, Game Day Policies, and the Student-Athlete Handbook.
Procedures for fundraising regarding Athletics are detailed in the Athletics Fundraising Policy.
Communications
College Communications works to develop and implement policies that shape our communications and relationships. Examples include: Policy on Haverford College Social Media Accounts; Haverford College Style Guide; and On-Campus Event Promotion Policies and Procedures.
Data Culture
Data governance and management structures, policies, and processes ensure that quality data is available for evidence-based decision-making pertaining to the student experience, College operations, and strategic priorities.
Expressive Freedom and Responsibility
The Policy on Expressive Freedom and Responsibility affirms Haverford’s commitment to free expression as central to our academic mission and learning environment. While expressive activities are permitted at Haverford, this policy specifies time, place, and manner limitations in order to center community safety, care, and learning through expression. The policy applies to all Haverford students, faculty, staff, and sponsored guests who use College resources and is administered in a content-neutral manner, without regard for the message or viewpoint being expressed.
Facility Use and Reservations
The Facility Use Policy establishes guidelines and priorities for reserving facilities at Haverford College, as well as policies governing use of all College spaces. The EMS Scheduling Policy governs the procedures for reserving those spaces.
Fleet Management
The Fleet Management policy applies to all drivers using a vehicle on behalf of Haverford College business or any Haverford College activity, including but not limited to golf carts, College owned vehicles, leased vehicles, rented vehicles, and personal vehicles.
Fundraising for Outside Organizations
Employees interested in soliciting funds from the campus community for external entities must adhere to the Employees and Fundraising for Outside Organizations Policy.
Students interested in soliciting funds from the campus community for external entities must adhere to the Student Fundraising Policy. This policy is under review and will be re-shared when the review is complete.
Institutional Advancement
The College's Gift Acceptance Policies are established to govern the acceptance and disposition of all gifts made to Haverford College. The College follows the Council for the Advancement and Support of Education (CASE) gift accounting guidelines as well as those set forth by the National Association of College and University Business Officers (NACUBO). In addition, the College follows the planned giving recommendations made by the American Council on Gift Annuities and the National Association of Charitable Gift Planners (CGP).
Institutional Policy on Civil Rights Protections and Anti-Bias Standards
The Institutional Policy on Civil Rights Protections and Anti-Bias Standards affirms the College’s commitment to cultivating an environment free from discrimination, harassment, and bias. It integrates and upholds the principles of Title VI, Title IX, and other anti-discrimination mandates, establishing a clear protocol for addressing related reports.
Instructional & Information Technology Services (IITS)
The Policy on Acceptable Use of Information Technology outlines acceptable and unacceptable use of College technology and computing resources.
The Anti-Doxxing Policy outlines the responsibility to keep personal information private and to not disclose to others or use for purposes of harassment, intimidation or other illegal acts.
The Interim Privacy Notice outlines what personal information the College collects, how it may be used, and how it may be shared.
Additional policies are located on the policy and planning page of the IITS website.
Library
Library Policies identify who can use materials housed in the Haverford Libraries, and the circumstances under which they can borrow various material or access certain resources.
Records Management
The Records Management Policy and the Records Retention Schedule outline the responsibilities of Haverford College staff, faculty, and administrators for managing records (regardless of medium or format) in their custody.
Smoking
All non-residential buildings at Haverford College are “smoke-free areas”. No one may smoke inside any such building, and smokers should take care not to cause others discomfort when smoking too close to an entrance of such a building. In the cases of KINSC and VCAM the smoke-free perimeter is 25' from the edge of the building.
A new Smoking Policy took effect on July 1, 2019. The policy prohibits smoking in all College buildings and vehicles, and includes a 25-foot smoke-free perimeter around buildings, athletic events, and courtyards/patios/bus stops.
Student Life
Since there is a plethora of policies and procedures concerning the student experience at Haverford, the Student Life Community Guidelines was created to centralize and make accessible important information. The Community Guidelines includes handbooks, policies, and procedures.
Title IX
While perhaps best known for its application to program equity, such as in athletics, Title IX also applies to sexual harassment (including sexual assault), as it has been determined in subsequent legal cases and regulatory interpretations that sexual harassment can prevent students from participating fully and equitably in educational opportunities. Sexual harassment was in fact explicitly recognized as a form of discrimination for purposes of Title IX compliance in 1992.
The goals of Haverford College’s Sexual Misconduct Policy are to create a community free from sexual misconduct of all kinds, to provide avenues for those affected by sexual misconduct to obtain assistance and provide a prompt and equitable complaint and investigation procedure.
