Catering

To arrange for catering please log into EMS to reserve your location and you will then be able to review catering menus and place orders.

Catering Policy

Sharing food is an important element for building a cohesive community. This principle has guided the work of Dining and Auxiliary Services in their partnership to support the delivery of catering services to Haverford College. Balancing staffing availability with the need to prioritize student meal plan requirements, the framework provides multiple food service options for event planners to choose from.

Catering options - all requests for catering are to be initiated by event planners in the EMS system.

  • DC Dine In
    • All you can eat from the DC food line
    • Available in any DC meeting room. Select DC Dine In when you book the room in EMS
    • Requires 24 hours notice
    • Subject to normal DC food line operating hours
    • Daily menus are available online
  • Snack Service
    • Requires 2 business days’ notice (excludes weekends and holidays)
    • Your location determines where your order is picked up at either Lutnick, COOP, or DC
    • Menu includes: hot/cold beverages, a variety of snacks, and hand fruit
    • Disposables and condiments included
    • Event planners are responsible for service and post-event cleanup
  • Catered Events/Meetings for up to 50 guests
    • Requires 5 business days’ notice (excludes weekends and holidays)
    • Provided on a first-come, first-served basis
    • Internal catering is the first option for these events
    • External catering may be required if multiple events are scheduled simultaneously
  • Catered Events/Meetings with more than 50 guests
    • Requires 6 weeks’ notice
    • Auxiliary Services will evaluate whether internal catering is available
    • Internal catering
      • Dining Services will work with the event planner to arrange catering services
    • External catering
      • Auxiliary Services will provide the planner with a list of caterers with whom the College has previously done business (no endorsement of quality is implied)
      • A guide will assist the planner in making arrangements with the selected caterer
      • The referenced list and guide are available at haverford.edu/reserve

Financial and risk management considerations require that all catering requests be directed to Auxiliary Services (via EMS), which maintains the College’s right of first refusal in responding to those requests.

Also as a matter of liability concerns, no food from outside sources may be served or consumed at events or meetings taking place in the Dining Center. 

  • Placing Your Order

    Before arranging for catering you will need to reserve a location on campus for your event. At this time order any audio visual, tables, food, etc. haverford.edu/reserve

    If you have any questions, or need assistance, please contact jboock [at] haverford.edu (Jennifer Boock), or Patricia Callaghan.

    Please have the following information available when arranging your event:

    • Client Name
    • Account number to be charged
    • Client phone number
    • Type of event
    • Date and start time of event
    • Location of event
    • End time
    • Approximate number of attendees

    Please give Catering at least 5 business days prior to the date of the event. Any less notice could result in fewer choices of food and beverages. There will be a surcharge of 15% for all requests with less than 48 hours notice.

    All services described are offered as self-service with all paper supplies included. Additional linen, china and wait staff is available at an extra cost. All equipment and supplies delivered to your event belong to Dining Services and must be left secured in the same place they were delivered. If any equipment or supplies are missing at the time of pick up the client will be charged for replacement. All table and chair setups are the responsibility of the party requesting the space. If you need to contact Dining Services after 4:00 p.m. please call (610) 896-4985 and ask for the manager or supervisor on duty.

  • Cancellations

    All cancellations must be made at least 48 hours prior to the event in order to avoid any charges or fees. Cancellations made after this time may be subject to charges for any food or supplies that were purchased.

  • Guarantees

    In order for Haverford College Catering to provide quality service and to properly plan your event, a minimum of two weeks notice is required when booking a catered event. An approximate number of guests must be given at time of reservation and then a guaranteed number must be given 72 hours prior to the event. This number will be considered a guarantee and is not subject to reduction. If we do not receive a guarantee count, the estimated number will be considered your final count for billing.

  • Delivery Service

    Standard deliveries and pickups are set up for your convenience. To provide complimentary delivery service we have a $25.00 minimum food order. For orders occurring weekdays after 4 p.m., or on weekends, there may be an additional charge for labor and services. Dining Center employees will not remain at the event unless required or previously arranged for. Due to the regulations of the Health Department, and catering standards, any food not consumed at the event may not be removed, except by Haverford College Dining Services.

  • Grill Rentals

    Grill rentals are available for a rental charge of $45. This includes the charcoal and utensils. The college requires that we provide an attendant for all grill rentals and the fee for this is $100 for a 2 hour service.
