As we approach the end of FY22 the Controller’s Office would like to remind the community of the following important dates.
Accounts Payable
- Thursday, June 30, 2022
- Final Check Run for FY22
- Friday, July 8, 2022
- Supplier Invoice Requests for FY22 activity should be entered and approved in Workday.
- Expense Reports for FY22 activity should be entered and approved in Workday.
Cash Sales
- Thursday, June 30, 2022
- Cash and checks received by 6/30/22 should also have a Cash Sale Date of 6/30/22 in Workday.
- Monday, July 11, 2022
- Please bring all donations postmarked on or before 6/30/22 to Institutional Advancement located in Founders 308, as you receive them. Processing for FY22 donations will be completed by the end of day.
Requisitions & Purchasing Orders
Creating FY22 requisitions: A purchase order is a contract between the College and a supplier regarding the purchase of goods/services that outlines certain terms and conditions concerning the purchase. The expense associated with a PO is recognized in the same period (fiscal year) the goods/services are received unless the contract specifies otherwise (e.g. a certain dollar amount to be paid upfront as a deposit).

Procurement Cards

- Verify all FY22 P-Card transactions.
Journal Entries
- Friday, July 8, 2022
- Requests for FY22 Journal Entry adjustments should be submitted. Email requests to Mark Pierfy at mpierfy [at] haverford.edu.
Spend Authorizations
- Friday, July 1, 2022
- FY22 Spend Authorizations should be expensed and fully reconciled with the return of cash (if appropriate).
- FY23 Spend Authorizations may be entered beginning Friday, July 1, 2022.
Leases
- Friday, June 17, 2022
- Haverford College implemented a new lease accounting standard for the year ended June 30, 2021. The standard substantially changed the definition of leases and how we record them. While the Controller’s Office will evaluate and implement this standard we need your help in identifying any service contracts (that may have embedded leases) or leasing arrangements that the College entered into during FY22.
We are kindly asking that you send to us through the secured link below any current active leases or service agreements that your department has entered into during FY22 Upload Lease Agreement

Technology Purchases
- Friday, May 20, 2022
- All technology requests for new or replacement desktops, laptops, tablets, and all other computing equipment must be made through IITS by 5/20/22. Please be aware that because of supply chain issues we still cannot guarantee equipment will arrive in time for FY22, depending on the type of equipment requested. The earlier the order is placed the better to allow enough time for equipment to be received by the June 30th cutoff date for FY22. Disposal of Capital Equipment

- If you disposed of any capital equipment in FY22 and have not notified the Controller’s Office, kindly complete the Inventory Equipment Retirement Form (PDF) no later than Friday, July 8, 2022. Email forms to Frank Wilson at fwilson [at] haverford.edu.
