Move In Procedure

Saturday, May 23, 2015 and Sunday, May 24, 2015 Apartments will be ready for move in: 8:00 a.m.–4:00 p.m. both days.

You will only be able to pick up your key and move into your apartment during those times. Someone from the HCA Summer Housing office will go with you to your apartment for an inspection and have you sign before giving out the key. Please note that keys will not be available at Campus Safety after hours.

  • Application Process

    Carefully review the following information before submitting your application.

    Occupancy Dates: Saturday, May 23, 2015 through Saturday, August 1, 2015 12 noon.

    Cost
    • One Bedroom Apartments $655 per month
      includes utilities (limit 2 people)
    • Two Bedroom Apartments $770 per month
      includes utilities (limit 3 people)
    • Air Conditioning Unit $100 per month
    Changes for Summer 2015
    • You will not be able to move into your apartment until Saturday, May 23 at 8 a.m.
    • Sunday May 17 5:00 p.m. (commencement) until Saturday May 24 at 8 a.m. we will make rooms available in Gummere for $100.
    Applying
    1. Application available March 23rd.
    2. All applications are due by March 27, 2015, 5:00 p.m.
    3. By April 17, 2015 you will receive an email indicating which apartment you have been assigned, along with instructions for completing the lease process.
    4. Between April 27–May 1, 2015 you must come to the Campus Center 007 (across from Bookstore). Please bring a blank check or credit card with you to complete all paperwork.
    5. May 17, between 12–4 p.m., you must come to the Campus Center lobby to pick up your key to Gummere if you opt to stay in Gummere for the week of May 17 (after hours at Campus Safety). Please bring ID. Keys will only be issued to the person assigned to the room.

    Application Currently Closed

    • Apartments are assigned on a first come first served basis. Applications will be made available in early Spring. Haverford College students get first priority, followed by Bryn Mawr students and then all others.
    • Rent is due at the first of the month. Late charges will apply if rent is not paid on time.
    • Air Conditioners: The renter must supply the unit and install/remove the unit. There is an additional charge of $100/month per air conditioning unit. There will be a charge for any damage to the window frame.
    • Summer Repairs and Improvements: We will be completing repairs and improvements to many of the apartments during the summer. Some apartments will receive repairs that do not require the apartment to be vacant; students will be notified 24 hours before those repairs take place. In the event that major improvements and/or repairs will take place in your apartment that require the apartment to be vacated, by signing the lease you agree to move to another assigned apartment for the remainder of the summer. You will be asked to move only once.
  • Lease

    The lease link and instructions will be emailed to you.

    The HCA lease must be filled out with all occupants of the apartment. If any information is incorrect the lease will not be accepted and you will need to resubmit.

    You will receive email confirmation when your lease is submitted. You will also receive email confirmation when the lease has been approved.

  • Policies
    Lock Out & Lost Keys

    If you are locked out of your apartment during the summer months the lock out procedure will be:

    1. Call Security from an emergency phone outside of your building or dial 610-896-1111
    2. You will be billed $25 per lock out, which will be due as part of your next month's rent (there will be no exceptions)
    3. You must show your ID and key to the officer who admits you back into your apartment
    4. Lock outs receive the lowest priority. Security handles emergencies and other requests first; there may be a significant wait time

    If you have lost your summer HCA key, the HCA Summer Housing Office will be notified by Security and you will have until 12noon the next business day to prove whether or not you have found the key. If you have lost your key you will be charged ($125.00) for a lock change and receive new keys for your apartment.

    Parking Policy

    Any vehicle failing to display a valid summer parking permit will receive a parking violation. Haverford Parking regulations are enforced 24 hours a day 7days a week 365 days a year.

    Recycling

    Learn which types of materials are acceptable for recycling while staying in the HCA.

    Storage

    There are a number of storage areas on campus. Please thoroughly read the Storage Policy for detailed policy and procedure information.

    Trash

    Please notify the Office of Summer Programs (hcasummerhousing@haverford.edu), immediately, about mice sightings and holes or spaces that need repair so mice cannot get in. It is important you do this quickly so we can respond in a helpful and effective manner.

  • FAQ
    1. I have not secured a summer job yet but I still want to sign up for an apartment in case I am able to get a job. Can I apply and back out later?
      Yes, we strongly suggest that you apply now. On the application please indicate that your summer job is TBD. If you secure a summer position please email us (hcasummerhousing@haverford.edu) so we can update your application. If you are unable to find a job or decide you do not want an HCA apartment for the summer you can back out at anytime before signing the lease.
    2. Why do we move into Gummere for the first week of housing?
      In previous years most (if not all) apartments have needed significant cleaning and repairs. Many students were extremely unhappy with the move in conditions. In order to respond to these concerns, and address serious problems before the new academic year, Facilities is going to do a light cleaning and make major repairs and/or schedule repairs prior to summer occupants moving in. The nature of the cleaning and repairs will be such that apartments cannot be occupied during this week. We have made rooms available in Gummere for the first week of the summer at a reduced rate.
    3. Will there be help available for moving my things from Gummere to HCA?
      Yes, a truck will be available on Saturday, May 23, 2015 from 8:00am to 4:00pm. The truck will be on Hall Drive (near Gummere 1st/1st) on the hour (8am, 9am, 10am,...,4pm). You are responsible for putting all of your belongings in the truck and removing them at the HCA drop points. The truck will only transport belongings, no passengers.
    4. Gummere does not have any cooking facilities; will there be any type of meals offered?
      We are not able to offer a meal plan during this time. The Coop is open for breakfast and lunch.
    5. If I don't want Facilities to clean or make repairs to my apartment, can I move in on May 17, 2015?
      No, we are unable to make any exceptions to the new policy. The nature of the cleaning and repair work will not permit occupancy of the apartment buildings during this week. Facilities needs to get into every apartment, with no occupants, in order to assess necessary damages and repairs. We appreciate your understanding as we work to improve HCA life during the academic year.
    6. Can more than 3 people live in a two bedroom and more than 2 live in a one bedroom apartment?
      No. HCA summer rentals are handled differently than school year housing. The maximum occupancy for a 2 bedroom apartment is 3 people. The maximum occupancy for a 1 bedroom apartment is 2 people. There are no exceptions.
    7. I am currently living at HCA and would like to remain in my apartment for the summer. Is this possible?
      It is highly likely you will be assigned a new apartment as part of the application process. We will do our best to honor requests, but we can not guarantee a specific apartment. In addition, all apartments must be vacated according the deadlines on the Housing summer closing notice.
    8. Is it possible to stay in my apartment after the lease expiration date?
      No. We are unable to give extensions because of the short period between summer housing and the school year. In order to make necessary repairs we must have all apartments vacated by August 1, 2015 12noon. We appreciate your understanding as we work to improve HCA life during the academic year.
