Summary
To convert your existing holdings, you have to:
- Define a captions and pattern field for the serial,
- Add a new holdings range to replace the existing holdings,
- Delete the existing non-MARC holdings,
- Enter indicator values for both new fields.
For journal issues, the Captions and pattern field is an
853, and the Holdings range field is an
863. Millennium Serials will create these
fields for you when information is entered as described below. (You do
not need to know the MARC codes, but if you do and wish to enter the information
yourself in MARC format, you may do so by using the Advanced
Mode tab, not described here.)

Work from a prepared list, or search in the journals index
for the journal title, highlighting the correct one from the browse screen.
Double click on it or press Enter. Choose
the correct checkin record from the records summary screen.
- Click on Holdings tab.
The old existing non-MARC holdings statement (850)
will be shown highlighted in the OPAC View
box.
- Choose Add New Range to
create a captions and pattern field (853).
In the Create Caption dialog box, the
Levels of Enumeration and Chronology should
both be 1. Display
caption should be unchecked for both enumeration and chronology
so that the captions do not display to the public. (An exception may
be made if there are multiple levels of enumeration and displaying the
caption will make the holdings statement more clear to OPAC users. For
example, if are several different series numbers for a journal, display
the caption "Ser." to clarify the numbering in the OPAC display).
Click on Submit.
- In the Selected Range area
in the lower part of the screen, fill in the beginning volume number
and year in the From box and the ending
volume number and year in the To box.
Click on Apply Changes at bottom of the
Selected Range area. The new holdings
statement will appear in the OPAC View
box. If you want to edit the new holdings statement, click on the range
to highlight it in the OPAC View area;
alter the text boxes in the Selected Range
area; and then choose Apply Changes to
complete your edits. Most checkin records need only one holdings range,
but if more than one is needed, continue adding the new ranges.
- When we check Gap Break Separator,
to indicate a gap in the run (issues or volumes are missing), Tripod
inserts a comma between 863's.
Note on Gap Break Separators: Comma or
Semi-Colon? According to serials cataloging rules, a comma is used when
there's a "gap" in the holdings, meaning something is missing
in our holdings, something that was published but we don't have. A semi-colon
is used when there's a "non-gap" break, meaning nothing is
missing, like when a new series is started or there's just a gap in
the numbering.
- The Open-ended box is checked if this is a title currently
being received and the holdings statement has no ending volume. You
can enter public and/or suppressed notes for this range as well.
- Millennium Serials adds the new range to the end of the
old existing statement. You can now delete the old range (850).
To delete a range, select the range in the OPAC
View area (highlight) and choose Delete.
Save.
- Indicators for the 853
and 863 fields must be entered by hand.
Click on Record tab. In Insert mode,
- Enter the indicators 20 in the
853 field and 40
in the 863 field.
- Click on Save.
