Materials placed on the gift shelf with green
slip inserted are awaiting downloading from OCLC into Tripod. Check workform
inserted by bibliographer to see whether bib record or OCLC record have
been indicated. No order record will be created for gift items.
Search item on Tripod, and if no bib record
exists,
Download bib record from OCLC into Tripod:
- Login to OCLCCatME;
- Find the bib record. From Search menu, click OCLC Online
(or click left yellow button). For ISBN: type in the number, click Find.
Match the material (check 020, 245
& 260 fields).
- From Tools menu, click
on Macro, then under RWA, AcqExport.
Then click Run.
- From Action menu, click
Export to export bib record from OCLC
into Tripod. Write the .b number from the window onto the worksheet.
- Close the record. DO NOT Save to the local file.
- Go into Tripod. Find the bib: .b then the number, then
<Enter>.
- Attach an item. Use the hgifti template (28) on the first
item (rest will be the same). Fill in LOC:
according to worksheet (usually hm), STATUS:
c, DONOR: Gift. Quit and make change
permanent.
For Haverfordiana:
If the author is an alumnus/a or a member of the Haverford
faculty, three special processing steps should be followed:
- Place an orange dot on the spine of the book.
- Stamp the book on the left inside of the front cover
with the stamp that reads, "HAVERFORDIANA NOT TO BE DISCARDED".
- Make sure the worksheet says that the book is Haverfordiana;
if not, note that fact on the worksheet.
If donated material already has a bib record on Tripod:
- Write the bib record number on the worksheet.
- Attach an item. Use the hgifti template (28) on the first
item (rest will be the same). Fill in LOC:
according to worksheet (usually hm), STATUS: c,
DONOR: Gift. Quit and make change permanent.
Donations are now ready to be placed at the end of the cataloging
shelves.
