- Lisa: Create orders (for books to be firm ordered from
Yankee) in Millennium Acquisitions, adding an ISBN
PICK field (Innovative tag is “b”)
for each and choosing (or inserting) the appropriate ISBN. Do this by
inserting a line with tag “b”,
then right-clicking and hitting “paste”. The available ISBNs
from the bib will display as a pulldown list; select the appropriate
one and hit “OK”. Add this
field even if there is only one ISBN in the bib record or even if the
first ISBN listed in the bib is the correct one for this order. If there
is no ISBN in the bib (or if the correct ISBN is not present in the
bib), key the correct one into the ISBN PICK
field in the order. Don’t bother to key it into the bib. All titles
we order from Yankee have an ISBN, so it shouldn’t be the case
that we don’t have one for an order of this type.
- Give Betsy a batch of about 30 orders.
- Betsy: Using Millennium Acquisitions, click on the Send
button in the left-hand column.
- Click on pulldown menu at top of screen which shows “0
purchase orders to PRINT”; select “X
purchase orders to send via EMAIL”. (X
should equal number of orders Lisa has prepared.) Those X
orders should appear as a list. They should all have vendor “gybp”.
If any other orders have been “queued”, accidentally or
deliberately, they will also display on the list. (They would have different
vendors and would make the total (X) greater
than the number of “gybp”
orders should be.) If orders have been queued accidentally, you can
highlight and delete the incorrect orders from the queue. If there are
orders you want to retain but not send at this time, you will need to
click “Limit by Vendors” button
at the top and insert “gybp”.
- ISBNs for individual orders are not visible on this screen,
but you can view each order by highlighting its line and clicking the
“Edit” button in the upper
right. The ISBN PICK field is visible
in the variable-length fields of the order record.
- When you are satisfied that all orders are accurate,
click Send button at top. At this point,
orders will be sent to Yankee and the date and time that the order was
sent will be recorded in subfield b of the existing ISBN PICK field.
(If it happens that there was no ISBN PICK field in the order, a new
ISBN PICK will be created that will contain only subfield b with the
date and time. This shouldn’t be the case in this scenario.)
