Continuations are publications issued yearly or less frequently
which are intended to be published indefinitely. These include yearbooks,
volumes in series, reports, memoirs, transactions, and other multi-volume
publications.
Check in the volume on Tripod as described in Procedures
for checking
in Periodicals. If an earlier volume has not yet arrived, send
a claim for it to the print queue.
Follow directions in NOTE fields of check-in record and proceed
with one of the following procedures (as appropriate):
Added volumes not analyzed, traced,
or classed separately
Books which are to have analytics
done, series traced, or which are to be classed separately
- Affix barcode(s). Affix a single barcode to the upper center of the
back flyleaf. For Astronomy volumes, use double barcodes: one barcode
is affixed to the upper center of the back flyleaf and the other onto
the checkout card.
- Create an item record for the volume, attaching it to the
same bibliographic record to which the check-in record is attached:
- From the Summary screen, choose Item
records.
- Choose Attach New Item.
- Choose appropriate location
code.
- The call number must be entered in MARC format (at the
CALL prompt). Use |b (“pipe”
b) as the subfield spacer before the last group of letters and numbers.

- Wand in the barcode (at the BAR
prompt).
- Also in MARC format, insert the field for volume and/or
year.
- Click on Insert a field.
- Tag of new field: v
- MARC tag 090 <RETURN>
- Key the volume in the first subfield, preceeded by |e,
and the year in the second subfield, preceeded by |y.
Example: |e20|y1993/94
- If the volume is non-circulating, insert “o”
(letter “o”) in the fixed field STATUS.
If the location code permits circulation but the serial does not
circulate, insert the code 2 in the I TYPE
fixed field.
- Click Save.
- Click Summary.
- Make sure the new item is listed in the correct sequence
on the record summary screen. Move it if necessary.
- Place one or more of the following colored tags in the book, if needed:
Gold - for books to be shelved in Reference
Red - for books to be rushed or for Reserve
Purple - for books to be sent to the in-house bindery for short-
term treatment (stiffening of cover).
- Note: All paperbacks are sent for short-term
treatment, with the exception of those going to the Science Library.
- If the volume will be superseding an earlier edition, place a note
in the book to send the earlier edition back to the Serials Office.
- Place the volume on the shelf marked Need Call
No. Labels and record it on the Serials Department statistics
sheet under Added Volumes: Bound/Unbound to Stacks.
- When the superseded edition arrives, change the location code (LOC)
and, if necessary, the status code (STATUS)
to reflect the volume’s new location and circulation status.
- Affix barcode.
- Prepare the cataloging worksheet and place in the book,
along with a printout of that volume’s check-in record screen containing
cataloging instructions.
- Close check-in record.
- Place the book on the shelf of new books awaiting cataloging.
