When the shipment returns in four weeks, check
to make sure each carton belongs to Magill Library. Open the cartons and
place the volumes on book trucks, placing volumes of the same title together.
Record the total number of volumes on the Serials Department statistics
sheet.
- Check in each volume.
- Compare title, volume, issue number, and call number
on binding slip inside front cover of book with what is printed
on spine of book. Make sure the text block contains the issues described
on the spine.
- Pull the binding slip from the file box and make sure
it is the duplicate of the one found in the book.
- Using double barcodes, place one barcode in the book
(on upper center of back flyleaf) and place its duplicate barcode
on one copy of the binding slip. Retain both copies of the binding
slip.
- Edit the boxes for the bound issues on the checkin record
on Tripod, reducing them to one box for each physical volume bound
together, and changing the status to BOUND.
This can be done either by editing in Serials Check-In or by running
the program Check In Bound, which
has options for reducing the highlighted boxes to one box and changing
the Status to Bound. Edit the cards as necessary. Bound volumes
should be represented on the card as one box for each physical book.
- Disable targets in each book by cutting one corner.
- Make sure all the titles sent out to the bindery have
returned by checking to see if any Library copies of binding slips from
that group remain in the file.
- Bring the volumes over to the Processing area, where
they will be readied for shelving.
- Create an item record for each volume, using the information
and barcode on the Library copy of the binding slip. (See Creating
Item Records in Checking in Continuations.)
Once item records have been created, the corresponding binding slips
may be discarded.
Volumes with missing issues:
Volumes which are not complete are held aside on the “BINDING
PREP” shelf in the Serials Office. If it is found that the
missing issue is unobtainable, bind the volume as is and when it returns
from the bindery, stamp the front flyleaf “Scattered
Issues Missing” and enter a notation of such on the item
record on Tripod.
