These procedures are chiefly for circulating Main Library
books.
For other library locations please look at the list of Procedures
for Individual Collections.

Many books will have nothing in this area.
- Plate: If a special plate

- Special Instructions: Many
books will have nothing in this area. Occasionally something unrelated
to processing will be written in this area, such as "Supercedes
earlier volume" or "Add tracing for..." If it doesn't
relate to processing, ignore it. If you are unsure, please ask.
If the book has no worksheet but seems straightforward,
proceed. If the book has nothing in it (no labels, no worksheet, no note
of any kind), bring it to the attention of a cataloger.
Plate
- Place the plate on the inside front cover, about 1/3
of the way down in the middle.
- Do not cover over any significant text or illustrations
on the endpapers. If there is text or an illustration where the plate
should go, find a suitable place for it elsewhere near the front of
the book, such as elsewhere on the inside front cover, on the page facing
the inside front cover, or on the page one page in from the front cover,
always 1/3 of the way down in the middle if possible.
- Unless otherwise noted, use a plain "Magill Library,
Haverford College" plate.
- If a special plate is required, look for it in the boxes
of plates in the Processing area. These boxes contain both pre-printed
plates and hand-typed plates that we use regularly. If you don't find
the plate you need there, it might be one of the older pre-printed plates
that are found in boxes on the wall of processing supplies in the Technical
Services area. But more likely, you will have to type one up yourself.
Use a "Magill Library, Haverford College" plate with a border
at the bottom. We have plates with large and medium borders. Pick the
one that seems most appropriate for fitting your phrase. Use the typewriter
in the Cataloging/Acquisitions area kept at the free desk in Tech Services.
- Often, although not always, a book that needs a special
gift plate will have a green flag reading "Gift Gift Gift"
in it. These flags are put there as a reminder to you to use the appropriate
plate. Remove the green flag after the processing the book.
- If the plate is gummed, you can wet it in the moistener
and it will attach easily to the book. The "Magill Library, Haverford
College" plates are gummed. Most other plates are not and must
be attached with the glue stick.
- Please note that some "Magill Library, Haverford
College" plates are ungummed (a printers' mistake) and should not
be used except if we have a plate shortage. These are clearly labeled
and are found in boxes on the wall of supplies near the other pre-printed
plates.
Pocket
- For circulating Magill Library books, use a targeted
pocket. Moisten it in the moistener and attach it, inside the back cover
at the lower right corner of the page.
- Leave a bit of room between the edges of the cover and
the pocket. Do not attach it flush with the corner. If the book is a
hardcover, the pocket should be within the boundaries of the text block,
which is usually about 5 millimeters in from the edge of the cover.
- Do not cover over any significant text or illustrations
on the endpapers. If there is text or an illustration where the pocket
should go, find a suitable place for it elsewhere near the back of the
book, such as in the lower left corner of the inside back cover, on
the page facing the inside back cover, or in the lower right corner
of the page one page in from the back cover.
- If the book has a dust jacket, try to place the pocket
so at least some of it is visible from under the flap. For example,
place the pocket over to the left on the inside back cover. Not all
of the pocket has to be exposed, just enough that it is clearly visible
to the Circulation staff.
- There should be a supply of pockets which have had the
target attached and are marked on the front, upper left corner with
a red check. This indicates to the circulation staff that the pocket
is targeted. If there are no targeted pockets, you can take some time
and place targets on a pile of pockets. If you do so, don't forget to
mark the pockets with a red check.
Label
- Place the spine label at or very near
the bottom of the spine.
- Trim as necessary, but try to leave a bit of white around
all sides of the label. When the labels are trimmed too closely, it
might appear as though part of the call number has been lost. Always
trim to a rectangular shape (i.e. don't cut the corner off just because
it is blank in that area).
- Even if there is text at the bottom of the spine, place
the label over it. Don't place the label too high up on the spine, even
if there is a more clear spot there where the label wouldn't obscure
any printing. Preferably, the lower edge of the spine label should be
just above the bottom edge of the spine, about 1/2 to 3/4 of an inch
up. Always keep the label on the lower 1/4 of the spine and no higher.
- If the book's spine is too thin to accommodate the entire
call number, place it on the lower left front of the book. Don't place
the label on the front simply to avoid obscuring text on the spine.
- Once you have attached the label to the spine, cover
it with a label protector.
- Sometimes the label protectors do not stick well to certain
types of cloth covers. You should try to be aware of this and check
at the end of your processing session that none of the spine labels
or label protectors are coming off the books.
- Please do NOT, under any circumstances, correct a book
label by hand. Print a new label with the correct call number on it.
Dust Jacket
- For Main Library books with dust jackets, we retain the
dust jacket and label it, in addition to the spine of the actual book,
with a spine label. Such books should arrive at Processing with 2 spine
labels printed out.
- Label the dust jacket in the same way that you would
the spine of the book (see "Label" above). Use a label protector.
Keep the label to the lower 1/4 of the spine. Do not worry about obscuring
text on the spine.
- For some other collections, we do not retain the dust
jacket. For many Art or Special Collections books, we cover the dust
jacket with mylar (clear plastic), but we do not use mylar on Main Library
books except in special cases.
Check Your Work
Don't be afraid to take a minute to check over your work.
Processing a book incorrectly only creates more work in the long run,
so speed is not as important as accuracy. Remember that many of the library's
books will remain on the shelves for dozens of years, so careless work
that seems to save a minute or two now can create hours of frustrating
catch-up work in the future.
End of Session
- As you process books, place them on their sides on the
Processing truck next to the desk. At the end of each processing session,
you can leave the books on that truck. If the truck gets full or close
to full, you can take it up to the Loan Desk area at the end of your
work session.
- Please always take Rush
books up to the Loan Desk when you are done processing them. You can
put them on the "New Books" shelves in the Loan Desk area.
