Submitting Reserves
Course reserve materials are items that are required or supplemental readings for a course. A professor places them on reserve so that the greatest number of students can use this material in a short amount of time. Copyright law determines how many photocopies of an article or a part of a book may be placed on reserve for a given class.
The following guidelines and forms apply to the Reserves Department at Magill Library. If you need to place materials on reserves at Union Music Library or White Science Library, contact the Music Librarian, Adam Crandell (acrandell@haverford.edu) or the Science Librarian, Dora Wong (dwong@haverford.edu).

Print, complete and submit with articles and book chapters to be scanned for electronic reserves in Moodle; it may also be used for items on in-house reserves at Magill.
- Web-based Reserves Request Form
Use for items to be placed on in-house reserves at Magill only; it may NOT be used for articles and chapters intended for electronic reserves in Moodle.

- Place items on electronic reserve in Moodle for the entire semester all at once?
To have all documents placed on Moodle before the semester begins, Magill Reserves needs the following no later than July 31st for the fall semester, and December 1st for the spring semester.
Step 1
Submit a copy of the syllabus for each course. Make sure it includes the dates on which readings are due. (If it’s available electronically, forward the link to reserves@haverford.edu.)
Step 2
Submit a photocopy of each document you want to appear on Moodle. (Sorry, we cannot make copies for you.)
Be sure that copies are:
- single-sided, clear, readable, and of good quality
- neither highlighted or annotated
- paper-clipped, not stapled
- accompanied by full bibliographic citation
- required reading only; optional readings should go on print reserve.
Step 3
Submit a completed reserves request form. Forms are also available at the Magill Loan Desk.
- Place some items on electronic reserve in Moodle at the beginning of the semester and then more as the semester progresses?
Submit all documents for the first three weeks of the fall semester no later than August 15th, and for the spring semester, two weeks before the first day of classes.
For subsequent submissions during the semester, we request a three day lead time.

- Place items to which we have an electronic subscription on electronic reserve in Moodle?
Forward the full citation or the link to reserves@haverford.edu. If the citation or the link appear in your syllabus, we will upload it in the order in which it appears on the syllabus.
- Place items in different file formats on electronic reserve in Moodle?
You may provide documents in a number of formats: Word, HTML, PDF, Excel, PowerPoint, etc.
- Know about copyright guidelines and Fair Use practices regarding electronic reserves?
Submit no more than 15% or one chapter of a monograph; no more than one article from a journal issue.
- Have my photocopies returned to me?
All photocopies are returned at the end of the semester. If you need them sooner, simply ask at the Loan Desk. (It is prudent to e-mail ahead to reserves@haverford.edu so we can pull them in advance for you.)
- Place Tri-College-owned books, videos or reprints on in-house reserve?
Submit a completed paper reserves request form or a completed web form. Forms are also available at the Magill Loan Desk.
Submit a course syllabus indicating the dates that the readings are due. If the syllabus is online, send its link via email to reserves@haverford.edu.
- Place books, videos or other items not owned by the Tri-College library on in-house reserve?
When deciding what materials to place on in-house reserve, it is helpful to submit requests well in advance of their active period of use. If the item is not owned by a Tri-College library, our librarians will be happy to order a copy, but ordering and delivery can sometimes take two weeks or more.
- Place books, videos or other items already on reserve at another Tri-College library on in-house reserve?
When deciding what materials to place on in-house reserve, it is helpful to submit requests well in advance of their active period of use. If the item is already on reserve at another Tri-College library, our librarians will be happy to order a duplicate copy, but ordering and delivery can sometimes take two weeks or more.
- Place personally-owned books, videos or other items on in-house reserve?
Check first to make sure that the item is not already owned by a Tri-College library. If not, then submit the item with a completed reserves request form. Forms are also available at the Magill Loan Desk.
- Place rented videos on in-house reserve?
We cannot accept rented videos for reserve.
- Place reprints on in-house reserve?
All photocopies of reprints must be submitted by faculty.
Reprints may not exceed one chapter or up to 15% of an entire monograph. No more than one journal article from a single issue may be submitted.
We will place one reprint copy on reserve for every 10-15 students.
Allow 1-2 days for processing of reprint materials.
- Arrange for a viewing of a video on reserve?
Contact Audiovisual Services at avreq@haverford.edu or by phone at 610-896-1193 to arrange for a viewing time and location and to request that the film be picked up from the libraries. Contact us at reserves@haverford.edu or 610-896-1176 to request that a hold be placed on the film for the viewing time.
