Quick Guide to Endnote Web 2.3

What is Endnote Web?

 

Endnote Web is a browser-based application for the management and citation of references for research papers and other publications. It is available free-of-charge for Bryn Mawr, Haverford and Swarthmore College students, faculty and staff while on campus or remotely connecting through a secure VPN client (HC) or proxy server.  For a comparison of Endnote and its more customizable desktop cousin Endnote Desktop is shown here.  Comprehensive information on how to use Endnote Web is available in the HELP section within Endnote Web. Opening a User Account

 

If you already use Web of Science, it will be easy to establish an account as you save marked records to save to Endnote Web through their button. Alternatively, go to http://www.myendnoteweb.com/ to establish an account. You will need to be on-campus or connected through your college’s VPN client or proxy server to set up an account. Once your account is set up, all you need to maintain access is to log on to ENW once every 6 months from an authorized IP address.

 

Collecting References

 

  1. Click on the Collect tab and you see that there are 3 ways to collect references: New Reference (i.e. typing it in yourself), Online Search (searching within ENW, need connection file) and Importing References (searching a database outside of ENW and then importing answers, need import filter).
  2. When typing in new references, be sure to specify the correct reference type to display the correct obligatory fields to fill in.

Searching Databases within Endnote Web

 

For many public (i.e. free) databases, you can search within Endnote Web using the appropriate connection files rather than logging on to the specific database address. Caveats: You most likely will lose some special search features available within the native search interface. Subscription databases often ask for login/password information which users do not necessarily know.

Searching Databases using PubMed as Example

 

  1. From Collect References tab, choose Online Search and from the Dropdown list (e.g.  Choose PubMed (NLM) if you want to search PubMed).
  2. If you have not previously set up this connection file, the dropdown list will not show this option.  You first need to click on the Customize this list link to set this up so it will be available for subsequent searching. A new window now appears with a list of all connection files on the left side and selected favorites on the right side. Select the appropriate file and click Copy to Favorites button.
  3. The Connect selection list now includes PubMed along all your other favorite connection files. Select and click the Connect button.
  4. Enter terms in search boxes and choose from each selection list for the field in which to search. Choose the operators relating each search term. Note that not all PubMed search feature are available when searching inside ENW.
  5. Click on the Title links to view each record. Use Return to List to navigate through the answers. Always navigate using ENW’s buttons and links, do not use the browser’s back feature which causes long delays in reloading.
  6. Check the references you like and move them to pre-existing folders or create a folder on the spot.

Importing references to Endnote Web

 

Various databases interfaces provide a special Endnote export format for saving answers. If that is not available, choose the appropriate Import Filter within Endnote Web to import saved citation files as text files.

 

To set up the import filter for a database

  1. Go to the Collect tab in ENW and click on Import Reference.
  2. If you have not previously set up the import filter, click on the Customize this list link next to the Filter dropdown box.
  3. A new window opens with a list of available filters on left and a list of filters you have selected on the right. Choose the one(s) desired and click Copy to Favorites to make them available for use later.
  4. Now the filter is available for use. Next to the File field box, locate the Browse button to locate the saved answer file.  Select the filter and click Import.
  5. A selected list of databases, the type of answer file that needs to be saved and the corresponding filter are as follows:

Display the full text and try using the “Capture” button on the browser toolbar. If that does not work, click on “New Reference” in the “Collect” tab in ENW and type in the info for the corresponding reference type. When done, click the “Save” button.

Mark your records, click on the "Disk" icon on the results window. On the next screen, click on the radio button "save to disk". Save the results as text file and import with the correct filter, e.g. EconLit (SP)

 

Saving references to Endnote Web using PubMed as an example 

 

  1. When conducting searches from PubMed from NLM site, mark the records you want to keep.
  2. On the bottom of the page, choose Medline from the Display pull down menu.
  3. From the Send To pull down menu, select File.
  4. You have the option to save this file to pubmedresult.txt.
  5. Go to your ENW. If you have previously installed the browser plug-in for ENW, you can get there by clicking the My Library button on the menu bar.
  6. Under the Collect tab, choose Import References.
  7. Browse to locate the previously saved pubmedresult.txt. Choose PubMed (NLM) from Filter dropdown list. Click the Import button to save to the default Unfiled Folder from which you can move to other folders later.

 

Bibliography suitable for cut-and-paste, email or print

 

  1. If you only need a bibliography, one simple way is just to save the list as a RTF (rich text file). This is suitable for cut-and-paste into the end of a Power Point.
  2. From the Format tab, click Bibliography.
  3. Select the source of the references, the bibliographic style and the file format to save, email or print out.
  4. If you need to have in-text citations, notes and bibliography for a paper, use the Cite While You Write function within Word.

 

Cite While You Write from Microsoft Word Using Endnote Web Plug-In

 

  1. First install the Cite While You Write plug-in for Word. From the Options tab, click on Download Installers.
  2. Open your Microsoft Word document. First select your output bibliographic style. Go to Tools > Endnote Web > Format Bibliography. Be sure the Instant Formatting option is turned on.
  3. Find the place where you want to insert your in-text citation. Find the citation you want to insert. Go to Tools > Endnote Web > Find citation. Enter a search string more than 3 characters long to locate it.
  4. Not often used: Before you submit the final manuscript, remove the field codes if required by the publisher. Save this file under another name because you will not be able to make further citation adjustments using ENW afterwards. Go to Tools > Endnote Web> Remove Field Codes.

 

To create a Chicago style research paper within Word with footnote

  1. Open your Microsoft Word document. First select your output bibliographic style. Go to Tools > Endnote Web > Format Bibliography to do so.
  2. In Word, position the cursor where you want to insert your citation
  3. From the Word menu Insert > Reference > Footnote and in the new window, choose the location where you want your footnote to appear.
  4. Find the citation you want to insert. Go to Tools > Endnote Web > Find citation. Enter a search string more than 3 characters long to locate it. Select the reference and click the Insert button.
  5. You may need to manually add the page numbers when citing a specific page of a book.

 

Format Paper

 

  1. This allows for formatting in-text citations and bibliography within ENW. This will work with any document in .rtf format. Within the text, insert {author lastname, year, title @page number} and save as a Rich Text Format file.
  2. From the Format tab, choose Format Paper.
  3. Choose from the list of output styles from the dropdown. If desired output style is not available, first select it by clicking on the Customize this list link to populate the dropdown list.
  4. With the file chosen and the output style specified, click the Format button to format your paper by matching the citations you inserted with your references. When the process is complete, it will prompt you to save it under a new file name. The new file will now contain in-text citations and a bibliography.
