Submission Guidelines for In-Library Reserves

Please submit in-library reserve items at least two weeks prior to the beginning of the semester, i.e., by August 15 for fall semester and by January 3 for spring semester.

The following policies and procedures apply to reserves that are housed at Magill Library. For information about policies and procedures at the Music Library, contact the Music Librarian; for Science Library information, contact the Science Librarian.

Submission Procedures

To submit materials for in-library reserve, complete and submit a reserves request form (PDF | web form). Forms are also available at the Magill Circulation Desk.

A separate course syllabus with dates or a dated reading list also must be submitted for each course. If the syllabus or reading list is available on the Web or in electronic form (e.g. Word Document), please submit the URL or file by email to reserves@haverford.edu or on a disk to the Reserves Desk (Magill Circulation Desk).

Acceptable material for in-library reserve include:

  1. Tri-College owned books, videos, and DVDs
  2. Personally owned books, videos, DVDs, and audiocassettes
  3. Reprinted material

Please keep in mind the following:

  • Any and all photocopies are to be submitted by faculty. We cannot make copies for you. See further instructions below.
  • Reprinted material may not exceed one chapter or up to 15% of an entire work (book or journal issue) according to copyright guidelines.
  • Rented videos cannot be accepted for reserve.
  • We can put one copy of an item on print reserve for every 10-15 students. Please keep this in mind when supplying material.
  • Generally, we require 1-2 days for processing print reserve materials.
  • To ensure prompt availability of materials at the beginning of the semester, please submit requests 2 weeks before the start of classes.

Additions to Reserve Lists

At any time during the semester, faculty may add to or remove from their reserve lists.

To add: fill out an "addition to reserve" form (this includes faculty name, course #, and loan period) and leave it along with the additional material with any staff member at the desk. Please allow 24-48 hours before the students will need the material for items to be processed for reserve.

To remove: please call or e-mail ahead that you wish to take an item off reserve, since this procedure can take 5 - 10 minutes.

Photocopied Materials

Any photocopied materials must be supplied by the faculty member. Please keep the following in mind when making photocopies:

  1. In the opinion of the American Library Association's attorneys, library reserves are protected by the "fair use" clause of the copyright law; therefore, for one semester photocopied materials made under the conditions below may be placed on reserve

  2. A reasonable number of photocopies of a selection from a book (a chapter or no more than 15% of the book) or from one article per journal may be reproduced for reserve. It is usually considered well within fair use to make 1 copy per 10-15 students.

  3. Any photocopied item that is needed for more than one semester must have copyright clearance, since extended use is not covered by the "fair use" clause. It is the responsibility of the faculty member to obtain this clearance and to attach the permission form to the material. For more information, contact Julie Summerfield (610-896-1177). Any materials that do not have copyright clearance will be removed from reserve at the end of the semester and returned to the faculty member.

Placing Reserves at Bryn Mawr

If you are teaching a class at Bryn Mawr and want to place items on reserve for the course, see their Electronic & Print Reserves Guidelines.

Please note that Bryn Mawr and Haverford do not generally duplicate course reserves; faculty must choose in which reserve room to place their reserves. Generally, the reserves are placed in the library on the campus where the course is taught.
