Why did the College change vendors?
The College's contract with Xerox ended in July 2009, which provided an opportunity to explore the marketplace. After a lengthy RFP and vendor review process, the college decided to contract with IPS Laser Express, a company that provides HP multifunction copiers, and has, since August of 2006, serviced Administrative Computing's fleet of desktop printers.
Why did I receive this particular device?
The set of Xerox devices deployed across campus consisted of eleven models of varying speeds and functionality. In an effort to standardize on a smaller number of models, each office received one of five HP copiers that most closely matched the speed and color capability of its preexisting Xerox.
My Xerox had a larger scanning surface than the HP copier I received. Why is this?
Most Xerox devices had scanning surfaces that could accommodate up to ledger size (11" x 17") copying and scanning. Equipping the new HP fleet similarly was not cost effective given most offices' only occasional need for copying or scanning of documents this large. As a result, the new HP copiers accommodate up to legal size (8.5" x
14") copying and scanning from their automatic document feeder, and at least letter size (8.5" x 11") from their glass surfaces. Scanning and copying documents up to ledger size can be accomplished either by using an HP color copier (for locations, see Copier Models and Locations), which have a larger glass surface, or by visiting the
Digital Print Center.
OneCard, Authentication, and Charges
I was not assigned the correct budget codes. What should I do?
You can request budget code changes via the HP Copier Access form.
Do students have access to the copiers?
Students do not have access to the HP copiers unless requested by a sponsoring department. Departments can request authorization for students who are doing work for them using the HP Copier Access form.
I have students that work for me and they need to be able to use the copiers. What can I do?

Can I use the copiers for personal reasons and charge those copies to my personal account?
You can only charge to college budget lines when you print or photocopy. However, your department can set up a system to charge faculty and staff members if they are using the copiers for personal needs. For example, the department can have people contribute into a petty cash jar after each job or keep a log near the copier and have individuals settle accounts at the end of each semester.
Why doesn't my OneCard work when I try to authenticate?
If you recently received a new OneCard, it's likely that your OneCard prox number has not yet been updated in our system. Please use the HP Copier Access form to submit the updated information about your OneCard.
Why does my OneCard work for my username, but not for my password?
Your OneCard should work for both your username and your password. The card reader works based on proximity. You may need to move it further away, and then move it back again for it to register.
Neither my OneCard nor my email username and password let me photocopy. What can I do to fix this?
All faculty and staff members should be able use any HP copier on campus. If the copiers do not accept your OneCard or username/password there is likely a problem with your account. Review your HP Copier Access form and make sure that your account has been assigned to charge the correct budget codes. If the problem does not seem to be related to your budget codes, please email helpdesk@haverford.edu with your name, Haverford email address, and any further details about the problem.
Printing
How can I add the HP copier print drivers to my computer?
Faculty and academic staff can follow our instructions for adding HP copier print queues on their campus computers. There are step-by-step instructions for installing the HP copier drivers on Macintosh and for installing the HP copier drivers on Windows systems. Administrative users, and anyone who wants help, should contact the Help Desk.
When I try to print, I don't see the right account codes listed.
If you try to print and do not see the appropriate account code(s), type an asterisk into the search box and press "Search." That will refresh the list of all the codes you are currently authorized to charge.
If you still don't see the appropriate code(s), email helpdesk@haverford.edu to request changes.
The printer won’t print.
If a machine seems to just "not be printing," even though the job seemed to send successfully, check and make sure that the last person who used the copier function has been logged out. While the copier is enabled for copying, it will not print (after all, who wants someone else’s printout in the middle of their copy job). Therefore, if the last user forgot to log out and the auto logout feature has not yet logged him out, nothing will print.
To log out a user, press "Exit" on the Pharos Terminal.
When I try to print from my Macintosh, I get a message "waiting for popup information."
The feature "Fast User Switching" is not compatible with Pharos printing. If you enabled it, you must turn this feature off. Go to System Preferences > Accounts > Login Options and uncheck "Enable fast user switching." If you continue to have trouble, reboot and try again.
When I try to print from my Macintosh, I get a message "failed to connect to popup server."
It's likely that the queue name for your print queue was
entered incorrectly. Delete the existing print queue and follow the instructions for creating print queues (beginning with Step 2) on Installing the HP Copier Print Drivers (Mac) to recreate the queue.
Why isn't the stapler option available when I go to print?
Most of the HP copiers on campus allow you to staple your print jobs. However, your print driver must be configured with the correct "accessory output bin." We provide configuration instructions as part of the process for installing Macintosh print drivers and installing Windows print drivers. Once the option is configured, you should be able to choose the stapling option (along with the other printing options), when you print to the HP copier.
Note that the HP Laserjet M3035 MFD does not have have an automatic stapling option. However, there is a "convenience stapler" built into the copier to allow easy stapling once your print or copy job is completed.
Scanning
The old Xerox machines printed a confirmation page after a scan. Now how do I know if my job was scanned successfully?
The Xerox machines gave us a confirmation page after scanning. The HP copiers do not.
If you are scanning to storage, check the storage folder to see if your file scanned successfully. For scan to email, you can either 1) send the document to yourself first and then forward it to the intended recipient; or 2) include yourself in the TO field with your other recipients (press "Enter" after each username to add additional recipients), and you will receive a copy of the email when it sends.
