Subject: Reminder: New Copiers on Campus and Additional Training
Date: Monday, August 17th
During the week of June 29th, most Xerox devices on campus were replaced with new HP multifunction copiers. All the HP copiers are able to photocopy, scan (to email and our network file server, Storage.haverford.edu), and print from campus Windows and Mac computers.
Overview
While the new copiers are similar to the previous devices, there are some notable changes.
- To make photocopies, you will need to use your Haverford ID (OneCard), or authenticate with your email username and email password.
- All faculty and staff can use the new copiers. To add account codes to your account or to authorize someone else to use the copier (like a student worker), see https://www.admin.haverford.edu/servlet/reality/hcadmin/copieraccess
- The new copiers will be supported by our HP copier vendor, Innovative Printing Systems (IPS).
- Information about the new copiers is on the web at http://www.haverford.edu/computing/copier/
Training Sessions
At the time of installation, IPS and members of the Computing Center provided training. IPS is offering additional training sessions on the following dates:

Subject: Authorizing student assistants to operate the new HP copiers
As we mentioned in our previous messages, the new HP copiers scheduled for installation in several offices next week will allow faculty and staff to log in using Haverford's OneCard. If you have student assistants working for your department this summer and would like your student worker to be authorized to use the new copier on behalf of the department, please send us the following information to helpdesk@haverford.edu:

Subject: New Copiers to be installed week of June 29th
During the week of June 29th, most Xerox devices on campus will be replaced with new HP multifunction copiers. All the HP copiers will be able to photocopy, scan (to email and our network file server, Storage), and print from campus Windows and Mac computers. These new devices represent both a savings to the college and an upgrade for most offices. In addition to the features listed in our previous message to the community (see below) the cost of letter and legal size copies will be reduced slightly from $.07/b&w impression and $.47/color impression to the following levels:
Black-and-white
8.5" x 11" = $.06/impression
8.5" x 14" = $.06/impression
11" x 17" = $.12/impression
Color
8.5" x 11" = $.45/impression
8.5" x 14" = $.45/impression
11" x 17" = $.90/impression
In addition, the Digital Print Center (DPC) will also be equipped with new copiers and printers this summer. Information about new DPC services and reduced pricing will be forthcoming.
Below, you’ll find the installation schedule for the new HP copiers. At the time of installation, both a computer center staff person and a trainer from IPS Laser Express (the company supplying and servicing the HPs) will be available to assist you in using the new devices. Just like on the Xerox copiers, you will need to log in before using the copier – on the HP copiers you can easily do so with your OneCard. In order to print to the devices, your computer will need new HP copier drivers to replace the Xerox drivers on your system. Computing Center staff will be available to help with this when the device is installed. Additional training sessions will be held in August. During the week of June 29th, online documentation about how to use the copiers, install print drivers and print to the device, order supplies, and arrange service will be made live on the Computer Center’s site: http://www.haverford.edu/computing/copier/

New Copiers Coming Soon!
Beginning in July, most Xerox machines on campus will be replaced with new copiers from HP. The change in vendors represents both a savings to the College and an upgrade for most offices.
In addition to offering improved support and reliability, these copiers will offer some new features:
- Use of your ID card (OneCard) to log in.
- Improved print quality.
- Upgraded page-per-minute speeds.
- Ability to look up email addresses dynamically -- no more typing out full email addresses for scan-to-email.
- Ability to protect confidential jobs by printing to a print-release queue; the job won't print out until you log into the copier.
In the next few weeks, we will be contacting you with the date for your copier installation, sending you information about training sessions, and publishing online documentation about how to use these new devices. In the meantime, feel free to contact the Computing Help Desk if you have any questions or concerns.
