Information for Students
The Audio Visual Services Department’s primary mission is to support
classroom teaching and learning. We prioritize our support to students whose
AV equipment and support needs are academically related.
Despite these limitations,
we are able to assist a large percentage of students who ask us for equipment
or event support. Please read and follow the suggestions below.
In any case, you always should contact us directly and as far
in advance as possible to discuss the options.
Plan ahead!
We have limited services and equipment available for
students. Contacting us as early
as possible increases the likelihood that we will be able to help you
and, when we are unable to help, increases the time you will have to find
help elsewhere. Even if you just
have a vague idea of what you may need the sooner you contact us the sooner
we can start planning.

event to contact us we will probably be unable to schedule help for you.
Always communicate directly with us!
Never assume that reserving a room guarantees you
equipment or services from the AV department. Always contact
us directly and as soon as possible in order to discuss and evaluate your
AV needs. If you need AV equipment for your class you can also ask your
instructor to make the reservation for you.
Available Equipment for Students:
In all cases you should contact
us directly to determine availablity.
- Portable equipment,
including video cameras, projectors and tape recorders: Check the list
of available portable
equipment. This equipment
is prioritized for faculty and academic use.
- PA (Public
Address equipment): We can set
up microphones for your event in one of our auditoriums with a permanently
installed PA system. We also
have a very limited inventory of portable PA equipment available for
students to borrow. If you have a small event (small venue, small
crowd) we may be able to help you out with our portable powered speakers.
These are good for lectures, readings, and acoustic music.

- Video screenings:
We can screen videos and DVD’s for classes and for recognized
student organizations. We observe copyright laws and we expect you
to do the same. Please read
and understand our section on Public
Performance of Video Recordings before contacting us. Note
that we typically do not allow students to access and operate our video
projection equipment directly. You must arrange to have an AV technician
present to operate the equipment.
- Computer
Projection: We can help you
with your computer presentation. Check
out the list of available equipment and facilities here. Note that we typically do not
lend portable computer projectors directly to students, nor do we typically
allow students to directly access our media classroom equipment. In
these cases you should have your faculty member tender the request for
you or arrange to have an AV employee operate the equipment for you.
What we do
not offer for students:
Some
of the services we do not offer but are asked to do quite often:
- PA
systems for bands and other large events (requiring elaborate or extensive
sound reinforcement): We simply
do not have the equipment and labor resources required to support these
types of events. Please call
us to discuss your needs and we may be able to offer a solution.
Options:
- Student
Council maintains a large quantity of sound equipment for students
use. Contact the Student
Activities office for more information.
- There
are a number of local sound companies that for a fee will rent,
set-up and operate sound equipment for your larger event.
Please contact us for a list of local companies.

Lights: We do not provide auxiliary, theatrical, or
cued lighting of any kind. If
you need lights for your event you may find help through HITT
(Haverford Independent Technical Theater group) or a local lighting
and staging company.

Outdoor
movies: We do not have the equipment
or resources required for an outdoor movie.
With ample notice we can screen a video or DVD indoors in
one of our auditoriums. The Student
Activities office maintains a list of companies that can do an outdoor
movie for you. Warning: It
is expensive!

Video
editing services: We do not
have the equipment to edit video.
We are able to duplicate
entire videotapes. Options:
Make a reservation:
- Once again, we require a minimum of 7 days notice for all requests. A longer lead-time is preferred if your event or class
is on a weekend, at night, or if it is a particularly complex event
requiring the AV department professional staff to be present.
- We have limited
ability to deliver and pick up most equipment. In most cases you will be required to pick
the equipment up and return it to the AV department yourself.
