Provost Provided Computers (Tenure-Track & Regular Part-time Faculty)

The College will pay fully for an office computer for each tenure-track and regular part-time faculty member every four years. Faculty members can choose between a standard model Macintosh or Windows PC, in consultation with their liaison. The standard model and configuration will be selected by the Provost in conjunction with the Academic Computing Center to provide a computer powerful enough to meet the needs of the faculty member for four years. The Provost may also honor requests for minor upgrades to hardware or software during the course of the four-year life cycle.

Requests for new computers should be submitted to the Provost in writing. Faculty with special research needs, teaching needs, or personal preferences may request a non-standard model. In such cases, the faculty member may be asked to pay all or part of the additional cost through some combination of personal funds, research funds, or departmental funds. In making decisions about special requests, the Provost will consider not only budgetary resources but also whether Academic Computing has the resources to provide reasonable support for the requested model.

In many circumstances, faculty members may benefit from having a laptop computer. Reasons for choosing a laptop computer may be related to frequent use of the computer in the classroom, research travel, personal convenience, or some combination of these factors. In such cases, the faculty member may choose to receive a laptop computer in place of a desktop office computer. The faculty member may choose between a standard Macintosh or Windows laptop configuration. In general, a faculty member who chooses a laptop will be required to pay the additional cost above the average cost for a standard desktop model through personal funds, grant funds, or a special request to the Provost. Faculty should not expect to use any other computer if they leave their laptop at home.

Ownership: The College retains title to the computer, but the computer is for the exclusive use of the faculty member during the four-year cycle. When a new computer is later purchased for the faculty member, the old computer is returned to Academic Computing. Should the faculty member leave the College, the computer remains College property and is returned to Academic Computing. Faculty members going on leave must talk with Academic Computing and the Provost’s Office regarding arrangements for their computer. On leave faculty members may choose to take the computer with them, subject to the insurance provision noted below. Those who keep the computer on-campus should arrange for data backup and storage or use of the computer in their absence.

Insurance: The College provides insurance coverage on the computer and, at the request of the faculty member, anti-theft cables to secure the computer to a desk. The system is listed as being housed in the faculty member's office, and it is assumed that the desktop systems will remain there. Laptops may, of course, be used both in and out of the office. Additional anti-theft cables designed specifically for laptops can be ordered through ACC or purchased at computing stores.

Faculty members are encouraged to use particular care in locking their offices. In the event that the faculty member does not choose to install anti-theft cables, he or she will be responsible for the $500 deductible should a loss occur. The faculty member is also responsible for the $500 deductible whenever the computer is off-campus.

Hardware Maintenance: The College will pay for repairs and maintenance on the standard model for four years. If the repair is expensive and the computer is more than three years old, the College may choose to replace rather than repair the computer. If a non-standard model was requested, the faculty member may be asked to bear the cost of some repairs and maintenance; the obligation to bear repair costs will be specified as part of the approval of the request for a non-standard model.

Provost Provided Computers (Visiting Faculty)

Each year the Provost's office loans a limited number of computers to visiting faculty. Visiting faculty members should request a system at least three weeks in advance of when they need it.
